## Create e-mail account
We offer e-mail accounts for existing customers or in combination with other products, either on your own domain or with the domain '@fairkom.net'.
You can read and manage your e-mails comfortably in the faircloud, but of course also on your desktop or smartphone. A separate `@fairsend.eu` domain is also planned.
Accounts with other domains are first created in [ISPconfig](https://isp.fairkom.net/login/), you can get access to this via fairkom support.
## Read e-mails locally
If you want to read the emails on your notebook / computer / smartphone or in the faircloud, use the following configuration in your email program. We recommend the 'IMAP protocol', so you see the same mail folders everywhere.
**First of all you need to "activate" the e-mail address here [ISPconfig](https://isp.fairkom.net/login/)**
### Incoming mail Server
`mail.fairkom.net`
(it works also for allmenda.net, fairmail.eu, imap.fairkom.net, but of course only for mail accounts which are located on fairkom servers, otherwise specify the server of your provider!)
IMAP port: `143` (STARTTLS/PLAIN) or `993` (TLS for IMAPS support)
(alternatively you could fetch mails with the POP protocol on port: `110`, `995` is also possible, but POP is not recommended anymore)
user: `firstname.lastname@domain.eu`
password: `xyz`
### Outgoing mail server
`mail.fairkom.net` (supports STARTTLS and PLAIN authentication)
(the domains allmenda.net, fairmail.eu, imap.fairkom.net also work, but of course only for mail accounts which are located on fairkom servers, otherwise specify the server of your provider!)
smtp port `587` (and not 25 or 456 as Outlook suggests)
outgoing mail server requires authentication with user and password as above.
Security: `STARTTLS` (or SSL e.g. with Evolution), with Outlook: `Select automatically`.
## Email clients
Here we explain what to consider for individual e-mail programs. fairkom is giving support only for open source based e-mail clients. If you have problems with Outlook please contact your Microsoft support partner.
### Desktop: Thunderbird
As e-mail program for Windows or Linux we recommend Thunderbird, for this we have prepared the above settings for an automatic configuration.
If you need to move data, please do it manually (clean out the old IMAP folder and create archives in local folders, then move the rest to the new IMAP account).
The IMAP folders are: Inbox=Inbox, Sent=Sent, Trash=Trash.

### Smartphones
You can also read emails on smartphones (Android, iPhone) or tablets. For Android we recommend the K9 Mail app.
You can also use the built-in mail program, for this you need to set up an `Exchange account` or `IMAP account` on Android. Alternatively you can disable the mail query for the Exchange account and use [K9 Mail](https://k9mail.app/) instead (set up IMAP account). Calendar and address book also works with the Exchange account or alternatively with DavX5.
### Webmail
[fairlcoud](https://faircloud.eu) offers a Mail App
There you can add and manage also additional e-mail accounts, even from other providers (e.g. gmx, gmail). This gives you a unique access to all your emails in faircloud and allows you to retrieve or send mails.
## Forwarding & Out of Office Notification
In faircloud you have to activate the `SIEVE` server in the Mail App in the account settings (with default setting IMAP authentication on SIEVE port `4190`). Then an absence notification can be defined, the corresponding [SIEVE rule](https://de.wikipedia.org/wiki/Sieve) will be displayed as well.

It is also possible to create an out of office note in ISPconfig. For this you have to log in to [https://isp.fairkom.net/login/](https://isp.fairkom.net/login/) (maybe an incognito tab is necessary) with your email address and the corresponding password (Attention: not the password for fairlogin!). There under the menu item 'autoresponder' you can set up the out-of-office notification.
## Sign and encrypt e-mails
### PGP
Thunderbird as well as k9 Mail for Android offer extensions for PGP encryption.
In a nextcloud or our faircloud mail app, [Mailvelope](https://mailvelope.com/en) enables PGP encryption (in the bottom left menu).
## Write e-mail to distribution list
We recommend not to write e-mails to more than 20 recipients. Otherwise spam suspicion can arise with mail hosters like web.de, gmx or gmail. For sending newsletters we have fairmailing in our portfolio, which sends the e-mails in small portions. ## Spam Filter
All e-mails are checked by fairkom for viruses and spam. In the ISPconfig there are gradations for this, which we set to 'Normal'. To prevent spam you can add the following rule in your e-mail program:
X-Spam-Flag: YES
Most e-mail programs filter automatically anyway.
## Change e-mail password
Log in to [ISPconfig](https://isp.fairkom.net/) with your e-mail address and password to change your password. Sometimes you have to do this in an anonymous browser window.
## E-mail retrieval blocked?
If someone wants to retrieve e-mails from a provider whose IP range is blocked, he:she can open the IMAP port if an e-mail (e.g. to herself) is sent (port-knocking) shortly before - provided the IP range is not also on an e-mail blacklist. We block some IP ranges if there are frequent bot attacks coming from them. If the problem persists for a longer time, please create a support ticket on `https://git.fairkom.net/hosting/support/-/issues` with the IP address, which can be found out e.g. via [fairsuch.net](fairsuch.net) with the search term `IP`.

## E-mail access blocked?
If someone wants to retrieve e-mails from a provider whose IP range is blocked, they can open the IMAP port if an e-mail (e.g. to themselves) is sent shortly beforehand (port-knocking) - provided the IP range is not also on an e-mail blacklist. We block some IP ranges if bot attacks frequently come from them.
If the problem persists, please create a support ticket at https://git.fairkom.net/hosting/support/-/issues stating your IP address. This can be found, for example, via fairsuch.net with the search term IP.
With some hotel or guest WLANs, the ports for e-mail are generally blocked; with some companies, e-mails can only be retrieved from the company's own server (firewall precaution).
So if only port 443 is open for the web, we recommend setting up the e-mail account in the faircloud and working via it while on the move.
